Effective writing is a writing skill that can be mastered through practice. You just have to understand a few basic rules. Here are five effective writing rules that can help you write more effectively.

Know Your Topic

Whatever you decide to write, do some research on the topic. It will help you familiarize with the topic and generate writing ideas. It also provides information for your writing that is worthwhile to your readers.

Organize Your Thoughts

It is always helpful to create an outline of what you want to say first. When you are clear about what you want to say, it is much easier for you to write. You just need to find the right words to express them clearly in your writing. When you have well-organized ideas, you will find you can write better. Readers will find it easier to follow what you have to say. This is what effective writing is all about.

Identify Your Audience

Effective writing is essential, but only a few of us can truly do it well. Sure, everyone thinks that writing is simply putting pen to paper and make sentences out of words. But when it comes to writing effectively, it is another story entirely. There are enormous differences between being able to write and writing effectively.

Many people write without considerations of their audience. When we hear the word “audience”, we usually think of movies or television shows. But every form of communication has an audience, and it is most important that writers must understand their audience. And write at the reading and comprehension level of the intended audience. Yet even some very smart individuals are not effective writers because they are not writing for their audience.

Say, For example, an instruction manual for how to hook up a DVD player. The writer of the manual, one with knowledge of the workings of DVD player, must realize that the users are the target audience. And in order to communicate effectively with the target audience, a manual writer must make sure the instructions are clear and concise, and be careful not to leave out any steps or assume that the audience should have the knowledge to understand.

Effective writing is much more than just knowing how to write and writing with correct grammar. It is writing that responds to the needs and interests of your readers. There are several guiding principles that can make your writing more effective. These describe the most crucial effective writing techniques.

Consider Your Audience

Who you are writing to? What expertise and knowledge do they have? What do they need from you? If you believe you have more than one audience, select one as the primary audience and write accordingly.

Organize Your Writing

The key to clear writing is to present material in the order that is most useful to the reader. If you are dealing with a process, organize it chronologically, first step to last. You can also organize you writing by putting the most important points first and the minor ones at the end. Sometimes a combination of these organizational methods is useful. Whichever method you use, keep your reader in mind and be consistent.

Use Active Voice

Be Clear About What You Want to Say

Before you write, spend a little bit of time to think about what exactly it is that you want to say to your audience. There is no need to think about the words at this point. You are just formulating the purpose of your writing. When your mind is not clear about what you are writing, it is easily reflected in your writing. Your readers will find your writing confusing, and that makes your writing less effective. Being clear-minded also helps you to organize your ideas.

Keep Your Ideas Organized

Do not jump from one idea to another unless you are finished with it. Usually, most writers simply forget about what they have written and this, again, leaves the readers confused. When you are writing, create an outline first. The outline serves as a checklist. When you have completed your writing, go back to this checklist and see if you have missed anything.
